What an Intake Specialist Actually Does
Firms ask this more than any other staffing question, so specifically:
- Responds fast, every time — inbound inquiries answered within minutes across every channel: phone, web form, email, chat, referral. Consistency is the point; a lead that waits until Monday has usually already retained elsewhere.
- Qualifies against your criteria — case type, jurisdiction, timing, and whatever else determines fit, applied the same way every time rather than by whoever happens to pick up.
- Runs conflicts checks to your firm’s procedure, before a consultation is booked.
- Books consultations and manages the calendar, including confirmations, reminders and no-show recovery.
- Maintains the pipeline — every lead in the right stage, with notes, so the system reflects reality rather than someone’s memory.
- Follows up on cold leads — the sequences most firms abandon after two attempts.
- Sends engagement letters and tracks signature status.
- Reports on intake performance — volume by source, conversion by stage, response times.

Prerequisites
What Has to Exist First
We won’t place an intake specialist into a firm without:
- A configured intake platform — Lawmatics, Clio Grow or equivalent, with a pipeline that reflects your real process. Intake infrastructure →
- Documented qualification criteria, explicit enough that two people would reach the same conclusion.
- A conflicts procedure they can follow.
- Defined escalation — what goes to an attorney immediately, and what doesn’t.
If those don’t exist, building them is part of the engagement. An intake specialist without them is just a faster way to handle leads inconsistently.
